RE: Letter of Agreement - Distributed Research Experiences for Undergraduates

I, _______________________________ (student's name) accept the offer from the Computing Research Association (CRA) to participate in the Distributed Research Experiences for Undergraduates (DREU) for the summer of 2009. I will be working with my mentor, Prof. _______________________________ (mentor's name) at _______________________________ (mentor's institution). I will complete the number of weeks in residence at my mentor's institution that have been agreed upon by mentor and myself. Further, I understand and agree to the following requirements on my participation in DREU: (1) Any situation other than the student spending a minimum of 10 full weeks in residence at the mentor's institution working on the research project requires prior approval of the DREU Directors. (2) The DREU is meant to be a full-time program. Hence students are not allowed to work at any other job, take courses, or perform any other significant activity during the time they are participating in DREU. Any exception to this requires prior approval of the DREU Co-Directors.

I will receive a stipend of up to $6000 for a nominal ten weeks of research ($600 per week) with my mentor at her/his institution, plus support for relocation travel to my mentor's institution (air travel is arranged by the student with a CRA specified travel agency and paid directly by the CRA and other costs are by reimbursement), as described in the DREU Procedures and Requirements Summary webpage (http://parasol.tamu.edu/dmp/docs/Procedures.php). I will use the stipend for expenses associated with my stay at the selected university. If I do not fulfill the obligation that was agreed upon between my mentor and me, then I will reimburse any funding I received for weeks that I did not spend working on my research project. In particular, I note that time spent on vacation or on travel to attend a technical conference (unless required for the research project) will not be counted as time spent working on the research project. All refunds will be reimbursed to CRA.

Because these awards are not for qualified tuition and related expenses but instead represent compensation for research services rendered as a condition of receiving the grant, they are reportable as gross income, but not as wages. Thus, the CRA is required to issue 1099's or W-2's to award recipients and it is the responsibility of each recipient to properly report the award as taxable income on his or her tax return in the year received.
